Our Property Management Services
LEASING
Our leasing team works exclusively on behalf of our Owners in all facets of the leasing process. We make determinations of market rents for properties. Our marketing services include taking professional pictures of the properties and placing tasteful advertisements on our company website/Facebook. Properties are listed through our software system where these advertisements go to a multitude of online rental websites. Our staff communicates with each prospective tenant inquiry in a friendly, professional, and informative manner. We coordinate the viewing of rental properties to include the handling of key check out & returns by the prospective tenants. Applications for rentals are carefully reviewed. This process includes credit checks, verification of references and most importantly, communications with applicants current and past landlords to verify their rental history. We prepare & execute leases and lease renewals. We collect security deposits that are held in a separate Company escrow/trust account, as required by law. We handle utility transfers, coordinate with government housing agencies, arbitrate disputes. We track and enter rent payments into our AppFolio software system. We communication with Tenants when rules and regulation violations are discovered as well as providing follow up inspections as needed. We send late notices, file dispossessory warrants and make court appearances. When Tenants vacate properties with unpaid balances owed, we handle the collection process to include turning these amounts over to collection agency’s if balances owed are not timely paid.
MAINTENANCE
Our experienced Maintenance Coordinator handles each maintenance issue with careful analysis and diligence. Communications are made with owners, tenants, subcontractors, vendors and maintenance techs about each issue. Permissions are obtained as agreed upon for necessary work. Each work order is entered into our AppFolio software system, and the work is tracked for timely completion. Owners may choose to handle maintenance issues themselves or engage us to handle them. Our full-time maintenance staff performs a variety of service work. Our Maintenance Coordinator works closely with our tech’s, providing daily scheduling and review of time sheets/material receipts. We have a separate warehouse where we stock supplies, materials, tools and equipment, to be used by our maintenance techs on the rental properties we manage. During move out inspection’s, we make detailed list of any work that needs to be performed. We make assessments of any tenant damages or neglect to be charged to the Tenant, and these findings and report are communicated to the Tenants along with the estimated cost to cure these deficiencies. We submit to our Owners estimated cost to make new vacancies market ready. Upon approval, we provide diligent coordination and oversight of the work to help insure timely completion of all work. We have a 24-hour answering service and monitor after hours and weekend maintenance request. We make all necessary communications on after hours emergency calls to include the dispatching of our maintenance techs and or subcontractors when the emergency work is necessary. Tenants are charged for damages they have caused on your property. Our qualified staff are trained the recognized these tenant damages. We make collection efforts for the full cost of these repairs from the tenant for reimbursement to your account. We are ever mindful that our job is more than renting and maintaining your property. It is also includes maximizing the return on your investment and enhancing your property’s values.
BOOKKEEPING
Our accounting services include accounting for all income and expenses on your investment properties that we manage. The bills associated with your property are paid as directed by you and can include payments to subcontractors, suppliers, utility companies, mortgagors, insurance companies and property tax collectors. These transactions are handled through Company escrow/trust accounts, as required by law. Each bill/invoice is carefully screened for accuracy prior to being processed for payment. Water bills are screened for large fluctuations in usage to help detect if there is a possible water leak on properties where water is furnished.
We set up “Owner Portals” in our AppFolio software system that allows for 24-hour owner access. We provide you the with monthly accounting details for each of your properties that we manage that includes a consolidated statement showing the income and expenses for any combined properties. Owner disbursements are made by check or direct deposit. We keep hard copies and electronic (soft) data of all disbursements, and they are available to our Owners upon request. We process Security Deposit disbursements in accordance with state laws. At your request, we produce to you cash flow and other customized reports.
